The invitation to meet with a subcommittee of the medical student evaluation committee, will be extended to any student who receives a grade of fail for a second block, a grade of fail for a single clerkship or elective and/or professionalism deficiencies. This includes students for whom such actions as notice of concern, probation, or dismissal are likely possibilities.

All student meetings with a subcommittee of the medical student evaluation committee shall be arranged by the office of admissions and student affairs. The student will be given notice of the time and place of the meeting, and its membership. The student is expected to confirm attendance by responding to the email calendar invite, prior to the meeting.

Meeting with a subcommittee of the medical student evaluation committee is not mandatory. The decision of the medical student evaluation committee is independent of the student meeting with a subcommittee of the medical student evaluation committee. The purpose of providing the student with access to a subcommittee of the medical student evaluation committee is to guarantee that all the information required is provided and to reassure the student that the medical student evaluation committee actions will be careful and deliberate.

  • Any student who accepts the invitation to meet with a subcommittee of the medical student evaluation committee, may have an advisor of choice accompany them to the meeting.
    The advisor's name must be provided to the chair of the medical student evaluation committee before the meeting date and time. The role of the advisor shall be limited to aiding the student; the advisor may not participate in the proceedings. 
    • If extenuating circumstances arise, preventing the student from appearing at the scheduled time and place, the student must contact the office of admissions and student affairs as soon as possible so that efforts can be made to reschedule their meeting with a subcommittee of the medical student evaluation committee.
      • If a student does not communicate in advance of the scheduled time, the subcommittee of the medical student evaluation committee will proceed.
  • Any student who declines the invitation to meet with a subcommittee of the medical student evaluation committee, may submit a statement in advance of the meeting time to the office of admissions and student affairs for review by the  subcommittee of medical student evaluation committee to clarify extenuating circumstances.

The declining of an invitation to meet with a subcommittee of the medical student evaluation committee or failure to meet with a subcommittee of the medical student evaluation committee at the scheduled time is not grounds for an appeal of the decision of the medical student evaluation committee.
